How our pricing works

Most owners come to us after one of these three things.

If any of these was your last 12 months, flat-fee monthly bookkeeping was built for you.

Problem 01

The surprise invoice

Your last bookkeeper billed $1,400 “for the month it got busy” — and you never saw it coming.

Problem 02

Months behind, CRA waiting

Your books are six months back and the CRA is asking questions you cannot answer yet.

Problem 03

The clean-up quote

Your accountant wants four figures to fix a year of mis-categorised transactions.

The fixSame root cause every time: hourly billing and unclear scope.A flat monthly fee removes both — one predictable price for a defined set of work, sized to your business, not to how long this month happened to take. No timers. No surprise invoices.

How much does a bookkeeper cost in BC?

Fluent Books plans start at $497/month and scale with what your business actually needs. Hourly bookkeepers in BC charge $45–$95/hour — which sounds cheaper until a clean monthly close takes 4–8 hours of qualified work, and a messy one takes 15. We quote one fixed monthly fee on the discovery call, then hold it — see exactly what each tier includes in the bookkeeping scope and the comparison table below.

Choosing a tier

What's the difference between each bookkeeping package?

Most owners hover between two tiers. The package isn't picked by revenue alone — it's picked by what you actually need delivered each month. Here's how the value ladder climbs, so you can self-select with confidence before the discovery call.

  1. 1

    Essentials

    Solopreneurs & pre-revenue founders

Monthly bookkeeping and P&L from a shared bookkeeper pool — built for one person before anyone's on payroll.

  2. 2

    Growth

    ~$500K revenue · first hires

Adds payroll for up to 5 employees, CRA source-deduction and WorkSafeBC remittances, a monthly Balance Sheet alongside the P&L, and a dedicated bookkeeper instead of the shared pool.

  3. 4

    Fractional CFO

$1M+ · the next big decision

Strategic finance on top of clean books: a 13-week rolling cashflow forecast, a live QBO Advanced KPI dashboard, monthly budget-vs-actual reporting, and a 60-minute CFO strategy call every month. More on the Fractional CFO service page.

Project & add-on pricing

One-time projects and add-on services.

Some work doesn't fit a monthly package — a year of catch-up bookkeeping, a QuickBooks Desktop migration, a brand-new QBO setup. We quote those flat-rate as standalone projects. If your books are behind, start with our bookkeeping cleanup service — we'll get you current before the subscription begins.

Fixed-fee vs hourly

Why fixed-fee bookkeeping saves more than it costs.

Hourly bookkeeping looks cheaper on the proposal. It rarely is on the invoice. The reason is structural: a bookkeeper billing $75 an hour has a financial incentive to take longer on your file. A bookkeeper on a flat monthly fee has the opposite incentive — to deliver fast, automate the repetitive parts, and keep your books clean enough that next month is faster than this month.

Hourly bookkeeping

  • Bills spike in the months you can least afford it
  • Every quick CRA question becomes a billable line item
  • Year-end clean-up arrives as a separate invoice you didn't budget for
  • Pricing changes monthly — cashflow planning gets harder
  • Bookkeeper has an incentive to take longer on your file

Fluent Books flat-fee

  • Same predictable fee in busy months and slow months
  • Same-day responses to CRA questions, no invoice attached
  • Year-end already done — no separate clean-up invoice
  • You know what bookkeeping costs every month, all year
  • We're paid to deliver fast, automate, and keep your books clean

If hourly billing has burned you before, that's the gap fixed-fee bookkeeping closes. Learn more about how we work, or book a free 30-minute calland we'll quote your tier on the spot.

What Canadian business owners
say about working with us.

The cashflow dashboard they built us in QBO Advanced is worth more than the monthly fee. I can see 13 weeks out and make hiring decisions based on real numbers instead of gut feeling.

They migrated us off QuickBooks Desktop in a weekend — everything came across perfectly. Set up QBO Advanced, connected everything, trained our office manager. I didn't have to do a thing.

Pricing FAQ

Every Fluent Books monthly package includes bank and credit card reconciliation, transaction categorisation, A/R and A/P management, monthly profit and loss reporting, GST/PST filing prep, and a year-end ready package handed to your accountant. Higher tiers add Balance Sheet reporting, payroll, CRA and WorkSafeBC remittances, T2 corporate returns, and Fractional CFO advisory. The exact list per tier is in the comparison table above.
Fluent Books plans start at $497 per month for our Essentials tier (solopreneurs and businesses under $500K revenue). Most growing small businesses land in the $997–$1,797 per month range once payroll, sales-tax filing, and dedicated bookkeeping are included. We quote a fixed monthly fee on the discovery call based on your transaction volume, employees, and complexity — once it's quoted, that's the price you pay.
For most small businesses, yes. Hourly bookkeeping creates two problems: the bill spikes in busy months (exactly when you can't afford it), and "quick questions" become billable interactions. A fixed-fee subscription prices in complexity once, then holds steady. Most clients save 15–30% over a comparable hourly engagement once year-end clean-up is factored in.
Fixed-fee bookkeeping (also called flat-fee or subscription bookkeeping) is a monthly service priced on the scope of work — transaction volume, employees, accounts, complexity — rather than on hours billed. You pay the same fee every month and receive the same defined deliverables: reconciliation, reporting, filing prep, and depending on tier, payroll and tax. There are no surprise invoices.
Yes. All our packages are month-to-month with no lock-in. If your business outgrows Essentials or your needs change, you can move up or down a tier any time. Changes take effect the following billing cycle so reporting stays clean.
No setup fees on the monthly retainer itself. If you need a brand-new QuickBooks Online setup, a QuickBooks Desktop to QBO migration, or a multi-month bookkeeping cleanup before the subscription begins, those are quoted flat-rate as one-time projects (see the add-ons table above).
Fluent Books is a remote-first practice serving small businesses across Canada. We're based in BC and have deep familiarity with WorkSafeBC and provincial sales-tax requirements, but we work with clients in Alberta, Ontario, and the rest of the country every day.
Most do, but some don't — particularly multi-entity holdings, non-profits with grant reporting, or businesses with cross-border US activity. Book a free 30-minute call and we'll either recommend the closest fit with a custom adjustment or scope a bespoke retainer that matches what you actually need.
